How to Flatten a PDF Before Sharing or Printing

Flattening creates a fixed visual copy of each page so completed form values, stamps and annotations no longer depend on interactive PDF features.

What flattening a PDF means

A PDF can contain form fields, links, comments, annotations and selectable text as separate interactive objects. Flattening renders the visible page and places that appearance into a new fixed PDF. The result looks similar, but those objects can no longer be clicked or edited individually.

When flattening is useful

• Before printing a completed form whose values disappear in some viewers.
• Before sharing annotations, stamps or signatures that must remain in place.
• When an upload portal rejects interactive or unusual PDF structures.
• When you want a consistent visual archive rather than an editable working file.

Create a fixed copy

1. Keep the original PDF with its editable fields.
2. Open Flatten PDF and choose the document.
3. Select high quality for small text, balanced for normal sharing or compact for a smaller file.
4. Process and download the flattened copy.
5. Open it in another PDF viewer and confirm that every field value and annotation is visible.

Understand the trade-offs

Because the pages are rebuilt as images, text is no longer selectable or searchable, links stop opening and form controls cannot be changed. File size can increase when a text-heavy document becomes a set of page images. Use Compress PDF afterward only if the result is too large, and check small text again.

Flattening is not redaction or encryption

A fixed page can discourage casual editing, but it does not hide visible information or restrict access. Use Redact PDF to remove sensitive content and Protect PDF to require a password. Choose the tool according to the actual risk.
